How to Create a Building/Complex and Add a Property
Step-by-Step Instructions
This process has two parts:
Part A – Create the Building/Complex record.
Part B – Add a Property (unit) and link it to that Building/Complex.
You only need Part A if the building or complex does not already exist in PropWorx. If it already exists, skip to Part B.
Part A: Create a New Building/Complex Record
From the Dashboard, click Admin in the left-hand navigation menu to expand it.
Why: The Properties module, where buildings and units are managed, sits under the Admin menu.
Click Properties in the expanded Admin menu.
This opens the Properties screen, defaulting to the All Properties tab.
Click the Building/Complex tab at the top of the screen.
Why: Multi-unit buildings, estates, and complexes must be registered here before individual units can be linked to them.
Click + Add Building.
This opens the Complex/Building dialog box.
In the Scheme/Building Name field, type the name of the building or complex (for example, Green Crescent).
This field is required.
(Optional) Complete the Scheme Number, Unit Range, and Scheme Year fields if this information is available.
In the Address section, click the Search Address field and begin typing the building's street address.
Why: The address lookup confirms the address against verified, geocoded results, reducing typing errors and incomplete addresses.
Select the correct address from the suggestion list that appears as you type.
Once selected, the address is displayed with a green checkmark, and the Save button becomes active.
Click Save.
Confirm that a "Complex / Building Added" confirmation message appears, and that the new building/complex now appears in the Building/Complex list with its address.
Part B: Add a Property and Link It to the Building/Complex
Click the All Properties tab to return to the property list.
Click + Add Property.
This opens the Create New Property screen, which asks: "What type of property are you creating?"
Click Property in a Complex/Building.
Use this option when the unit is part of a building or complex already set up in PropWorx. Use Standalone Property instead if the property does not belong to a complex.
From the Select Building/Complex dropdown, choose the building or complex you created in Part A (for example, Green Crescent).
Why: Linking the property to its parent building automatically inherits the building's verified address, so you do not need to search for or re-enter the address again. This is confirmed under Property Address, where the inherited address appears as SELECTED ADDRESS.
In the Unit/Apartment Number field, type the unit number (for example, 01).
This field is required.
Under Basic Information, click the Property Type dropdown and select the appropriate option (for example, Townhouse).
This field is required. Other available types include Not Specified, Duplex, Simplex, Duet, Cluster, and House, with further options available by scrolling down the list.
(Optional) Complete any relevant fields under Building Specifications, such as Year Built, Stand Size, House/Floor Size, Lot/Erf Size, Stories/Floors, Section, Stand Number, or Lot Number, if this information is available.
A Rooms & Layout section also appears further down the form. The recording reviewed for this article does not show this section being completed, so it is not covered here.
Click Save Property.
Confirm that a "Property Added" confirmation message appears.
To verify the new property was created correctly, type part of the building name (for example, green) into the Search field on the All Properties screen, and confirm the new property record appears with the correct Property ID, address, unit number, building, and property type.

Always use the Search Address field rather than typing an address manually where possible. The Google-powered lookup reduces errors and ensures the address is correctly formatted.
Linking a property to its parent Building/Complex saves time, since the address only needs to be captured once, at the building level.
After saving a new building or property, use the Search field on the relevant list screen to quickly confirm the record was created with the correct details.
If you cannot find an address using the address search, look for an Enter Manually option in the Address section to capture the address fields by hand.

Fields marked with a red asterisk (*) are mandatory. PropWorx displays a "Please complete all required fields" message, and disables the Save button, until all required fields are completed.
Carefully confirm the building selected in the Select Building/Complex dropdown before saving a new property. Selecting the wrong building will link the property to the wrong address.
After saving, the property list may take a moment to refresh. If a newly added record does not appear immediately, use the refresh icon next to the filter controls or search for the record by name.

Expected Result
After completing this process:
A new Building/Complex record exists and is visible under Admin > Properties > Building/Complex, with its name and address.
A new Property record exists, linked to that building, visible under Admin > Properties > All Properties, with a unique Property ID, an Active status, the correct unit number, building, and property type.
Troubleshooting
Issue

"Please complete all required fields" message will not go away
Check that all fields marked with a red asterisk (*) are completed, including Scheme/Building Name and Address (Part A), or Building/Complex, Unit/Apartment Number, and Property Type (Part B).
New building or property does not appear in the list after saving
Click the refresh icon above the list, or use the Search field to look for the record directly.
Address search returns no matching suggestions
Check your spelling and internet connection. If the address still cannot be found, use the Enter Manually option to capture the address fields individually.
Search field shows "No records to display"
Confirm the spelling of your search term, try a shorter keyword, and confirm that the Active status filter is not hiding the record.
