Linking Contacts to a Complex/Building

1. Click Admin on the Main Menu.


2. Click Properties.



3. Click Complex/Building


4. Complex/Building Report will open.


5. Click on the Complex Name to view complex/building profile.



6. Selected Complex / Building Profile will open.  Click on Edit to property record details.



7.  Scroll to the Contact List Section. Click Add Contacts



8.  Select contact type (e.g., Managing Agent)

9. Contact List will appear. User will either link an Existing Contact/s (A) or create a New Contact/s (B).  Selected contact/s will be linked to the file as Tenant/s. Repeat loading contacts if required. 



  1. Option A) Existing Contact – type in the search field. PropWorx will filter results of existing contacts. Select by clicking on the contact to be linked to the file and click select. Repeat if required.


  1. Option B) New Contact/s – Click on the Create New Contact button. Select the contact type (i.e. Person or Company). Create New contact screen will appear. Repeat if required.
 


Create a new Contact
Click on Edit. The user is able to fill in as much information as needed, or fill in basic information and load more information once the contact is created. 



Under Personal or Company Details:
Person: Fill in the Forename and Surname. Optional: ID number and birthdate
Company: Fill in the Company Name. Optional:  Company reg and Vat number




Under Contact Details, fill in:
Cellphone number and Email address for communication
Preference Post, SMS and/or Email for statement sending preference


Click Save Changes to create a new contact. 


10. Click on Save Changes to update complex/building record details.
