Understanding the Age Analysis on a Tenant Statement
This article explains how the Age Analysis is calculated on a tenant statement.
Important things to note
Payments are allocated to the oldest outstanding charges first (FIFO).
Whenever a tenant makes a payment, it is automatically allocated against the oldest outstanding balance before reducing newer charges. This may affect the amounts shown in each ageing bucket.
The ageing calculation is based on the statement "To" date.
In this example, the statement has been generated with a To Date of 25 June 2026. The selected statement date determines the date ranges used for each ageing bucket.
Future-dated transactions are excluded.
Any transactions dated after the statement To Date are not yet due and therefore do not form part of the age analysis.
Ageing buckets
Since the statement has been generated as at 25 June 2026, the ageing buckets are calculated as follows:

Example tenant statement
The tenant statement below has been colour coded to show how each outstanding charge falls into the relevant ageing bucket.
Each charge is assigned to an ageing bucket according to its transaction date relative to the statement To Date.
Example calculation
The same statement has been exported to Excel to illustrate how the age analysis is calculated.
In this example:

There are no outstanding charges that fall within the 61 to 90 day period, so the 60 Days bucket is R0.00.

Charges dated 1 July 2026 do not form part of the calculation because the statement was generated as at 25 June 2026. These transactions are future dated and are therefore not yet due.

Why isn't the ageing based on calendar months?
The Age Analysis is calculated using the actual number of days outstanding, based on the statement's To Date. Because months have different numbers of days, it is possible for a bucket (such as the 60 Days bucket) to contain no transactions, as shown in this example. This is expected behaviour.
