Manage PropWorx Inspect (Inspections)

On PropWorx, there are two options available for conducting inspections:
  1. PropWorx Inspection (Free): In this option, users can perform inspections by uploading their own media (e.g., photos and videos) and inspection reports directly to an inspection record. No third-party inspection app is required for this process. 
  2. 3rd Party Inspection App: In this option, users can link their inspection subscription to PropWorx and utilize a third-party inspection app to generate inspections. The user would then import the inspection performed on the app into PropWorx.

1. Click Admin on the Main Menu. 



2. Click on Customer Files.



3. Select Rental or Sales on the menu heading.

4. Click on the File Name to open the file. 



5. Customer File will open. Click on Inspections on the file tab ribbon bar. 



6. Inspection tab will open. 


Add an Inspection Record

1. To add an Inspection Record to the file, click on the Add Inspection Record button, then New Inspection from the menu



2. Inspection Record screen will open. 
3. Under the Inspection Details section, select the Inspection Date & Time (mandatory) from the calendar.
  1. Date: To set the date, click on the calendar () icon
  2. Time: To set the time, click on the clock () icon


4. Inspector (optional): select the Inspector from the drop-down. If the Inspector does not exist, click on Add Inspector button to create the inspector.



5. All other fields in this section are optional. 
6. Click Save to create the new inspection record. You can add additional fields once the record is created.



7. The inspection record will appear on the inspection list. 



8. Users have the capability to preload future inspections on PropWorx. Once preloaded, PropWorx will send reminders to the user regarding upcoming inspections.


Edit an Inspection Record

1. Click on the Inspection Record button. 



2. Selected inspection record screen will open.  
3. Click on Edit button.



4. To confirm changes, click Save button.





Overview of Inspection Record sections

Inspection Record Dashboard 

The Inspection record dashboard will automatically update based on specific fields populated in the Inspection Details section of the inspection record. (see Understanding the Inspection Record Dashboard)



Inspection Details Section

This section is to keep track of inspection details and reminders:
  1. Inspection Date & Time (mandatory)To set the date and time, click on the calendar () icon for the date and the clock () icon for the time.
  2. Inspector (optional): select the Inspector from the drop-down. If the Inspector does not exist, click on Add Inspector button to create the inspector.

  1. Inspection Note (optional): type in any inspection findings in this section, notes will appear on the Inspection Summary Report generated. 

Contact List

All fields in this section are optional. This section is to keep track of contacts linked to the inspection record (i.e., person present). (see Manage Contact List on Inspection Record)




Load Inspection Summary Report Media & Documents

1. Click on the Inspection Record button. 



2. Selected inspection record screen will open.  

3. Scroll to “Documents/Communication/Notes section” and click the Documents.



4. Click on Upload button.  



5. Depending on the device, the following actions are available:
  1. Device with camera (e.g., mobile phone or tablet) – User can take a photo, record a video, or select from folder/directory.
  2. Computer device – User can search computer folder/directory to select media and documents to add to record. 
6. Once media or documents are selected, click on can Inspection Images & Attachments folder option from the menu.  



7. The selected images and attachments will be uploaded to the record.  If necessary, items can move to different folders or deleted.



8. Images & Attachments will appear on the Inspection Summary Report. 





Generate Inspection Summary Report

1. Click Admin on the Main Menu. 




2. Click on Customer Files.



3. Select Rental or Sales on the menu heading.

4. Click on the File Name to open the file. 



5. Customer File will open. Click on Inspections on the file tab ribbon bar. 



6. Inspection tab will open. 

7. Click on the Inspection Record button. 



8. Selected inspection record screen will open.  

9. Click Action button then View Inspection summary Report



10. Optional: Deselect the report sections to be excluded, by deselecting section tick boxes. Click View & Send button to generate report. 




11. PropWorx Inspect Summary report will generate. User has option to: 

  1. Export – Click on export to download the summary report in a PDF format to the device. 
  2. Send – Click on Send to send the PDF report with an email. 
PDF documents can be filled and signed directly on the device or computer device. Once signed, upload the signed document to the inspection record. 


Close an Inspection Record on PropWorx

1. Click on the Inspection Record button. 



2. Selected inspection record screen will open.  

3. Click on Edit button.



4. Under the Inspection Details, select the Completed Date & Time (optional) and Enable the Open to Close toggle (mandatory).



5. To confirm changes, click Save button.


6. Confirm your intention to close the inspection by clicking Yes when prompted.



7. After saving the record, the inspection will now be categorized as Closed in the inspection list.




Deleting an Inspection

Please note that only closed inspections can be deleted. If an inspection is still open, you will need to close it before proceeding with the deletion.

1. From the Inspection Status drop-down menu, select Closed to view closed inspections.


2. Locate the inspection you wish to delete and click on the Delete button ().



3.  Confirm the deletion by clicking Yes when prompted.



4. The inspection record will be permanently removed.
