Import & manage inspection - Property Inspect

On PropWorx, there are two options available for conducting inspections:
  1. PropWorx Inspect (Free): In this option, users can perform inspections by uploading their own media (e.g., photos and videos) and inspection reports directly to an inspection record. No third-party inspection app is required for this process. 
  2. 3rd Party Inspection App: In this option, users can link their inspection subscription to PropWorx and utilize a third-party inspection app to generate inspections. The user would then import the inspection performed on the app into PropWorx. 
  3. Property Inspect App: To utilize Property Inspect, through PropWorx, a valid Property Inspect subscription is necessary. For detailed information regarding Property Inspect, kindly visit the Property Inspect page. Please be aware that a connection fee will be applied to maintain the connection between PropWorx and your Property Inspect subscription. See “Connect Property Inspect to PropWorx”.

1. Click Admin on the Main Menu. 



2. Click on Customer Files.



3. Select Rental or Sales on the menu heading.

4. Click on the File Name to open file. 



5. Customer File will open. Click on Inspections on the file tab ribbon bar. 



6. Inspection tab will open. 


Add an Inspection Record

1. To add an Inspection Record to the file, click on the Add Inspection Record button, then Import from Property Inspect from the menu



2. The Import Inspection screen will appear, showing all inspections created using the Property Inspect app.
  1. White rows: indicate inspections not yet been imported.
  2. Grey rows: indicate inspection that are imported and what record ID is assigned to that inspection.


3. Tick the desired inspection and click the Import Inspections button.



4. The inspection will be imported from Property Inspect and linked to an inspection record.


The Inspection Record on PropWorx will be populated with the details imported from the Property Inspect app. However, you can edit or add additional details to the record as needed on PropWorx. 


View & Edit an Existing Property Inspect Inspection Record

1. Click on the Inspection Record button. 



2. Selected inspection record screen will open.  
3. Click on Edit button.



4. The Inspection record will open, with some fields potentially pre-populated from the details imported from the Property Inspect app. You can edit or add additional details to the record as required (not that the changes will not be pushed back to Property Inspection). 

5. To confirm changes, click Save button.



6. Once the inspection is closed on Property inspect, re-pull the data from Property Inspect and record will be completed & closed. 


Overview of Inspection Record sections

Inspection Record Dashboard 

The Inspection record dashboard will automatically update based on specific fields populated in the Inspection Details section of the inspection record. (see Understanding the Inspection Record Dashboard)



Contact List

All fields in this section are optional. This section is to keep track of contacts linked to the inspection record (i.e., person present). (see Manage Contact List on Inspection Record)




How to Pull the Inspection Report from Property Inspect Update

1. Click on the Inspection Record button. 



2. Selected inspection record screen will open.  

3. Within the “Inspection Details section”, locate and click the Pull Data from Property Inspect button.



3. The Property Inspect inspection report will be imported and be displayed within the Inspection Report section.
  1. The inspection report will display all the items, conditions, comments, action required, and photos that were entered using the Property Inspect app.



4. To open inspection on Property Inspect app, simply click on the Open on Property Inspect button. 



5. Once the inspection is closed on Property inspect, re-pull the data from Property Inspect and record will be completed & closed. 


Generate a Property Inspect Document

1. Click on the Inspection Record button. 



2. Selected inspection record screen will open.  
3. Click Action button then Generate Property Inspect Report. If the option does not show, this means that no report was started on Property Inspect App.



4. Property Inspect report will generate and saved to device.



Close a Property Inspect Record on PropWorx

1. Before closing the inspection record on PropWorx, make sure that the inspection has been completed on the Property Inspect app.
2. Access the specific inspection record that you wish to close.


3. To make modifications or add details, click on the Edit button. Once you have made the desired changes, remember to click Save to preserve the updates.


4. In the Inspection Details section, select the Complete Date and activate the status toggle.



5. Confirm your intention to close the inspection by clicking Yes when prompted.



6. After saving the record, the inspection will now be categorized as Closed in the inspection list.



7. Reopening an Inspection: If you need to reopen a closed inspection, edit the closed inspection record and change the Closed toggle to open. Save the changes, and the inspection will be moved back to the Open status.


Deleting an Inspection

Please note that only closed inspections can be deleted. If an inspection is still open, you will need to close it before proceeding with the deletion.

1. From the Inspection Status drop-down menu, select Closed to view closed inspections.


2. Locate the inspection you wish to delete and click on the Delete button ().



3.  Confirm the deletion by clicking Yes when prompted.



4. The inspection record will be permanently removed.
