Manage File Groups (aka Master Files)

File groups (aka master files) serve as a useful tool for linking multiple files, enabling the generation of rent-roll and cashflow statements (see Landlord Expenses: Statements). Additionally, clients can utilize the file groups to apply filters on different reports, enhancing their ability to analyse and manage data effectively.

1. Click Admin on the Main Menu. 



2. Click on Customer Files.



3. Select File Groups on the menu heading.



4. File Groups screen will open. 



Create a New File Group

1. Click on Add File Group button.



2. Create New File Screen will open. Fill in the required fields: File Name (e.g., Unit Trust) and File Description (e.g., Unit Properties). 



3. User can proceed with linking files or click save to create file group.


Edit a File Group

1. Click on the File Group Name to manage the group.



2. The File Group screen will open. Users have the flexibility to proceed with editing the file group. To confirm changes, click Save.


Adding & Removing Files for File Group

Files can only be linked to one File group (aka master file) at a time. If you wish to have a file linked to a different file group, first remove the file from the original group and then add to the new file group.
1. Click on the File Group Name to manage the group.



2. The File Group screen will open. 

3. Users have the flexibility to proceed with a) Adding file and b) Removing Files from the file group. 

  1. Option a) Adding files – click on Files button. Files screen will open. Tick files and click Select Files button. Repeat as required. Selected Files will be linked to File Group. 




  1. Option b) Removing Files – tick files and click Remove files button.


4. To confirm changes, click Save.


Archive a File Group

Note: Before archiving a file group, ensure that any linked files are removed if they need to be associated with another file group.

1. Click on the File Group Name to manage the group.



2. The File Group screen will open. Click on Archive File button. 



3. The file group will be archived and appear under the archived files filter. 



4. To Reactive: Manage file and click Reopen file button.
